Revolutionizing Student Housing Move-Ins

In August 2024, The Preiss Company made history by executing the first-ever self-service student housing move-in at The Edition on Rosemary in Chapel Hill, NC. Utilizing Quext’s (formerly Homebase) cutting-edge access control solution, powered by seamless integration with Entrata, 246 students moved into 68 units without the need for traditional key handoffs or in-person check-ins. This innovation streamlined the move-in process and enhanced the overall resident experience, setting a new standard in student housing operations.

Solving the Chaos of Move-In Day

Student move-in days are notoriously hectic and stressful. Property staff often juggle key handouts, manage long lines, and deal with administrative bottlenecks, leading to an overwhelming experience for both staff and residents. The Preiss Company sought a solution to alleviate these challenges by simplifying the process, improving efficiency, and creating a modern move-in experience.

Quext partnered with The Preiss Company to deploy a comprehensive access control solution, integrated directly with Entrata, their property management software. This integration allowed for automated mobile key invites to be sent to residents at 7:00 AM on move-in day, granting instant smartphone access to their units. The system eliminated the need for physical keys and manual check-ins, creating a frictionless experience for students and their families.

How Quext Simplifies Move-In Day:

  • Automated Invites: Invites and instructions were sent out to students the morning of their move in, marketing materials were provided to staff and property managers.
  • Mobile Access Control: Students could unlock their units using their smartphones via the Homebase app.
  • Integration with Entrata: Automated credentialing reduced manual entry, ensuring residents had access when they needed it.
  • Smart Thermostat Integration: Enhancing energy efficiency and control within units.

Time Saved, Efficiency Gained.

The self-service move-in process saved property staff at least 10-20 minutes per student, totaling over 40 hours saved during the move-in event. The success of this initiative solidified Quext as The Preiss Company’s preferred move-in method, leading to an expanded partnership across their portfolio. Property manager Idy Ezekiel shared, “Watching students pull up the app and log into their access was so smooth. Their parents stood beside them saying, ‘I feel comfortable because I know my child is safe.”

Additionally, the automation provided through the Entrata integration allowed staff to focus on higher-level tasks. This streamlined process ensured that residents’ access credentials and thermostat settings were managed automatically, freeing up staff to handle critical operational needs and improve service delivery.

Beyond the move-in process, Quext’s access control solution has provided ongoing benefits:

  • Vendor Management: Vendors can be granted access to specific units through the app, eliminating the need to track down physical keys or perform time-consuming key audits.
  • Enhanced Security: The risk of lost or duplicated fobs has been significantly reduced. Quext’s Partner, Dave Marcinkowski noted, “Lost fobs and keys being handed around are things of the past.”
  • Increased Efficiency: Staff can now focus on resident engagement and property management instead of routine administrative tasks

Tech-Savvy Living for Today’s Students

The use of mobile keys resonated with the tech-savvy student demographic. “Students expect this. With technology fees, we’ve actually seen our occupancy tick up compared to properties that haven’t launched this yet,” noted Dave Marcinkowski, partner at Quext.

The Homebase app, now part of Quext’s portfolio, offered unique features that addressed common concerns. Idy Ezekiel highlighted the convenience of the app, saying, “Even if their phone is dead, once they get to the door, it unlocks. This is exactly the kind of tech we need.”

Setting a New Standard for Student Housing

The Preiss Company chose Quext for its forward-thinking approach and dedicated support. The collaboration included comprehensive training and resources to ensure a smooth rollout, which has since become a benchmark for future implementations. This support was integral to the successful adoption of Quext’s technology across their properties. The implementation of a tech fee was well-received by residents and their families. “I’ve never had to explain the tech fee. It’s so easy to justify because parents see the value. People are willing to pay for that convenience,” mentioned Idy Ezekiel.

Quext’s access control solution has transformed the move-in experience for The Preiss Company, saving time, reducing stress, and enhancing security for both staff and residents. With seamless integration through Entrata and a user-friendly mobile app, Quext has set a new standard for student housing operations.

Looking ahead, The Preiss Company plans to expand its use of Quext technology across more properties, further solidifying its commitment to innovation and resident satisfaction. The adoption of these systems continues to empower staff, protect assets, and deliver an exceptional experience for residents.
